Privacy notice

This notice explains what personal information Synaform collects when you use this website or get in touch with us, why we use it, who we share it with and what your rights are.

Who we are

Synaform Limited is the controller of the personal information described here. We are registered in England and Wales, company number 16674430. Our registered office is 322 Finchampstead Road, Finchampstead, Wokingham, England, RG40 3JB.

Contact us about anything in this notice at hello@synaform.co.uk, by phone on +44 333 0523759, or by post to our registered office.

We have not appointed a data protection officer.

What we collect

When you contact us through the website form. The form asks for your first and last name, email address, organisation, role, your preferred workshop length and any programme details you choose to give. The form does not send anything to our website. When you press Send, it opens your own email program with the details filled in, and you send them to us by email.

When you email or call us. Your name, contact details, what you tell us and our replies. For calls, the number you call from and the time and length of the call.

When you visit the website. Like any website, our hosting provider receives technical information your browser sends, such as your IP address, browser type, the pages you request and the time. We do not use analytics, advertising or tracking tools, and the site sets no cookies.

Please do not send us sensitive information (for example about health) through the form or by email. We do not need it to answer your enquiry.

Why we use it, and our lawful basis

  • Reply to your enquiry, arrange a workshop or meeting, and keep a record of what we discussed. Our legitimate interest in responding to people who contact us and running our business; or, where you are asking about working with us, taking steps at your request before a contract.
  • Deliver work you or your organisation have engaged us for. Performance of a contract.
  • Keep the website running, secure and free of abuse. Our legitimate interest in providing a secure, working website.
  • Keep business and tax records. Legal obligation.

You do not have to give us your details, but without an email address or phone number we cannot reply. We do not make decisions about you by automated means.

Who we share it with

We do not sell your information. We share it only with:

  • Microsoft, which provides our email (Microsoft 365).
  • Vercel, which hosts this website.
  • Google, which supplies the fonts used on this website. When a page loads, your browser requests the fonts from Google's servers, which means Google receives your IP address and browser details.
  • Our telephone provider, for calls.
  • Professional advisers such as accountants, lawyers and insurers, where needed.
  • Authorities, where the law requires it.

These providers act on our instructions under contract, except where they act as a controller in their own right (for example, Google for the fonts it serves).

Transfers outside the UK

Some of our providers process information outside the UK. Vercel's main processing facilities are in the United States, and its data processing terms include the UK International Data Transfer Addendum. Google may process font requests outside the UK. Where information leaves the UK we make sure it is protected by UK adequacy regulations or by approved contract terms.

How long we keep it

  • Enquiries that do not lead to work. 2 years from our last contact with you.
  • Correspondence and records for clients and suppliers. 6 years after the work or contract ends.
  • Business and tax records. As long as the law requires.
  • Website technical logs. Held by our hosting provider for its standard log period.

After that we delete it or make it anonymous.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct it if it is wrong or incomplete
  • ask us to delete it
  • ask us to restrict how we use it
  • object to how we use it, including for direct marketing
  • ask us to transfer it to you or another organisation, where that applies
  • withdraw your consent at any time, where we rely on it.

To use any of these rights, email hello@synaform.co.uk. We will reply within one month. There is normally no charge.

Complaints

If you are unhappy with how we have handled your information, please tell us first at hello@synaform.co.uk or by post to our registered office. We will acknowledge your complaint within 30 days and tell you the outcome.

You can also complain to the Information Commission (ICO), the UK data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
